Lea Brandt sells apartments in Cologne-Ehrenfeld. On Mondays, twenty enquiries are waiting for her. It used to mean copy, paste, search, link. Now a single dialog turns each enquiry into a deal — with buyer, property and proof of consent.

## The situation: Every enquiry gets typed in three times: into the CRM, the pipeline and a note.

Veedelwerk Immobilien markets around twenty apartments at a time. Every new listing brings enquiries: through the website's contact form, by email, on the phone. Lea used to carry each one over by hand — name, email and phone into the CRM, a record in the pipeline, the enquiry text as a note, plus the link to the right property.

That costs more than time. When two colleagues pick up the same enquiry, the prospect gets two answers — or none. Which enquiry belongs to which apartment? Who called back? And when a prospect asks where the office got their data, Lea digs through her inbox for a form submission from three weeks ago.

Lea didn't want new software; she wanted fewer clicks. With the first click, an enquiry should become what it is: a possible sale of a specific property.

### Step 01 — The enquiry arrives — with proof

The form on the website sends the enquiry straight to the inbox. Next to name, email, phone and message, it shows when Klaus Wagner agreed to which consent and which privacy notice was linked at the time.

### Step 02 — One click: “Deal anlegen”

The dialog is already filled in: Klaus Wagner as the buyer, his message as the note, the sales board and the first stage. Lea doesn't retype a thing.

### Step 03 — Find the property without searching

One search box for every record: Lea types the street name, and Capitality shows properties, units and listings, grouped by kind. Enter takes the first hit.

### Step 04 — Buyer, listing, property — linked in one step

Lea picks the listing; the property it belongs to comes along automatically. The title is built from property and buyer. She enters the expected commission herself: 3.57 % including VAT from each side of a 489,000 € sale.

### Step 05 — Done — and visible everywhere

The enquiry is marked as processed and Klaus Wagner saved as a contact. The deal sits in the pipeline and shows up on the property, the listing and the contact. Had the email address been known already, Capitality would have linked the enquiry to the existing contact instead of creating a duplicate.

## The short version for your team

1. Create a website form under Einstellungen → Eingang (Settings → Inbound) and paste the snippet into your own website.
2. Open new enquiries in the inbox; consent and message sit right on the record.
3. Choose “Deal anlegen” — contact, note, board and stage are prefilled.
4. Link the property or listing through the search, set roles and the expected commission.
5. Create the deal. The enquiry is done; the deal hangs on the property and the contact.

## Frequently asked questions

**How do I document consent from the contact form?**
If you ask for consent before contacting someone, you must be able to demonstrate it (Art. 7(1) GDPR). For every enquiry, Capitality stores the wording of the consent, the time, the form version and the linked privacy notice — right on the inbound record.

**What happens if the prospect already exists as a contact?**
If Capitality knows the email address, the enquiry is linked to the existing person. No duplicates are created, and the contact's history stays in one place.

**Can I embed the form in my existing website?**
Yes. Capitality hosts the form, and a snippet embeds it on any website. You set the fields, texts, allowed websites and the privacy-notice link in the settings.

**Do enquiries from ImmoScout24 and other portals arrive too?**
Not automatically yet: portal enquiries flowing straight into the pipeline are in build. Today, enquiries reach the inbox through the website form.

**Why 3.57 % commission from each side?**
In Germany, if a broker takes a fee from both seller and buyer of an apartment or single-family home, both must commit to the same amount when the buyer is a consumer (§ 656c BGB). 3.57 % is 3 % plus 19 % VAT; the rate itself is negotiable.
